Getting Started
Sign up from the InventCatch sign-in page. The first person to sign in creates a private workspace (tenant) that only your team can see. Add teammates from Settings → Team & Roles by sending an invitation to their work email — they join your workspace with the role you choose.
Use Scan or Add Item to capture a product by photo, or enter details manually. Review everything the AI fills in before saving — you are always in control of what gets stored. Items can carry a quantity, a storage location, lot/batch codes, and expiration data.
InventCatch is a responsive web app that works across modern phone, tablet, and desktop browsers. Camera capture depends on your device and browser permissions. There is no separate app to install.
AI Scanning & Verification
You photograph or upload a product label. InventCatch reads the image with AI (an OCR step followed by a reasoning step), then presents the extracted details for you to review and edit before anything is saved. Extraction quality depends on image clarity, lighting, and label format.
InventCatch distinguishes what the AI read from what a human confirmed. A printed expiration date read from the label still needs your review. A date derived from a shelf-life rule is shown as calculated/estimated, not as a manufacturer-confirmed date. Items can move through a Verify Queue so a person confirms uncertain records.
When a product shows a manufacture date and a documented shelf life, InventCatch can calculate a suggested expiry (manufacture date + shelf-life). This is offered as a one-click suggestion you choose to apply — it is clearly an estimate, not a printed expiration date.
For hazardous materials, InventCatch can check whether an SDS link is reachable and provide a search fallback link. This confirms a document is reachable — it does not certify regulatory compliance. Always confirm the actual SDS and your handling procedures.
Inventory & Receiving
Record and update the quantity and location details supported by your plan as stock is received, moved, counted, or issued. Inventory and corrective-action views help you keep records current.
In Receive Items you can capture a receipt or packing document. InventCatch helps compare the recorded expected items against what was captured and flags potential discrepancies (missing, unexpected, or quantity differences) for your review before you accept them.
The Warehouse area includes a live operations view and task model. Robot movement is currently SIMULATED — a dashboard or simulated robot view does not mean a physical robot is connected or under control. Live robotics integrations require compatible equipment, vendor interfaces, and a safety review, and are planned for the future.
Expiration Tracking & Alerts
InventCatch uses a deterministic reminder engine at 90, 30, 7, and 1 days before expiry. In-app alerts are always on. Email reminders are an optional weekly digest sent to your workspace admin (Mondays). Manage these in Settings → Reminders.
Emails are delivered through our email provider. To receive mail at your own branded support address, that domain needs its own mailbox set up. Alert emails are sent from InventCatch to your admin's address on file.
Reports & CSV Exports
CSV export is available for supported inventory and receiving reports. Some areas also offer PDF exports (such as cycle-count and warehouse summaries), and admins can download a full workspace backup. Available exports depend on the modules and permissions enabled for your account.
Account, Billing & Team
InventCatch supports role-based access: Administrator, Reviewer, Inventory Operator, and read-only Auditor. Invite teammates from Settings → Team & Roles. Each person should use their own account rather than sharing credentials.
A free plan is available for individuals (a limited number of AI scans per month). Paid plans are processed securely through Stripe; billing cycle, charges, and cancellation terms are shown at checkout. Manage your subscription from Settings → Billing & Usage.
Change or cancel your subscription from Settings → Billing & Usage; access continues through the paid period. For sign-in trouble, use the recovery options on the sign-in page, and contact support if you still can't get in.
Security & Privacy
Each workspace's data is isolated so one organization cannot see another's records. Access within your workspace is governed by role-based permissions.
Uploaded images, corrections, verification decisions, and inventory changes can be retained as audit evidence. Retention periods are configurable by your admin (Settings → Organization). See the Privacy Policy for current details.
Image reading and the AI assistant use third-party AI providers to process the content you submit. We do not publish security or compliance guarantees we have not independently verified. Review the Privacy Policy for how uploads and documents are handled.
Troubleshooting
Retake a clear, well-lit photo, check the printed label, correct the extracted value, and confirm the record before saving.
Improve lighting, clean the label, capture the whole label in frame, or enter the value manually if the AI is unsure.
The result may be pending, cached, or unreachable. Use the SDS search fallback and confirm the real document — don't treat an unverified link as confirmed.
Search for an existing SKU or record before creating a new item to avoid duplicates.
Compare the receiving document, packaging quantities, and a physical count before posting any adjustment.
Check Settings → Reminders (email enabled), confirm the saved expiration date, and verify the admin email on file.
Check your permissions, active filters, result size, and whether the export finished before downloading.
Use the recovery options on the sign-in page. If access is still unavailable, contact support using the form below.
InventCatch uses AI to assist — not to replace your judgment. Extracted values can be wrong and should be reviewed. We clearly distinguish AI-extracted, human-verified, and estimated information, and ask for confirmation on anything ambiguous. Robot automation shown in the app is currently simulated.
